This tracker counts; it doesn’t interpret. It adds up scheduled and actual nights and shows the difference. It doesn’t say what a difference means for child support, custody or anything else, or how a court decides.
Overnight counting can differ by order or court; your order or local rules control. For advice about your situation, consult a licensed attorney where you live.
If a protective order or a safety plan covers exchanges, follow the order and your safety plan first. A tracker on a shared phone, computer or cloud account can show someone else where you and your child will be. A local domestic violence advocate can help you plan safe exchanges.
If you’re in danger, call 911. The National Domestic Violence Hotline is available 24/7 at 1-800-799-7233, or text START to 88788 (thehotline.org).

The spreadsheet has a Start here sheet, one sheet per year with a row for every night (date, day, scheduled, actual, a “differs?” flag and a note), and a filled-in example month. A month table beside each year counts, for parent A and parent B, the scheduled nights, the actual nights and the difference, plus the number of nights that differ, and adds them up for the year. If your schedule repeats, type night 1 and the pattern once and the Scheduled column fills itself; you can type over any night.
The printable PDF has a key page, a page for each month of 2026 and 2027 with every night listed, and a totals page for each year, for anyone who keeps records on paper.
How to fill in scheduled vs actual
Record-keeping and arithmetic only. These steps change what the tracker shows; they don’t say what your schedule should be.
- Name A and B.On the Start here sheet, type each parent’s name next to A and B. A is orange and B is blue everywhere in the file.
- Fill the Scheduled column.Write what your order, parenting plan or written agreement says for each night. If it repeats, type night 1 of the rotation and the pattern (for example AABBAAABBAABBB for a 2-2-3) and both years fill in. If it doesn’t repeat, delete the example start date and pattern and type A or B for each night. Type over holidays and school breaks.
- Fill the Actual column.Type A or B for the parent the child actually slept with that night, the same day or soon after, from your own calendar, texts or exchange log. Leave a night blank until you know.
- Mark nights, not days. Each letter is the parent whose home the child sleeps at that night. How overnights are counted can differ by order or court, so follow what your order or local rules say.
- Keep notes short and factual.A few words in the note column, such as “swap agreed by text on March 3” or “make-up night for March 6.” Leave out opinions.
- Check the totals once a month. The month table compares only nights where Actual is filled in, so a half-finished month compares like with like. Difference is actual minus scheduled; a total that looks wrong usually means a missed or doubled night.
Example: one month, filled in
The spreadsheet’s Example sheet is February 2026 on a 2-2-3 rotation from Monday, January 5, 2026 (the same example as the 2-2-3 pattern calendar). On 25 of the 28 nights, actual matched scheduled. These are the three that differ:
| Night | Scheduled | Actual | Note |
|---|---|---|---|
| Fri Feb 13 | B | A | Swap agreed by text on Feb 10 |
| Fri Feb 20 | A | B | A away for work; agreed by email on Feb 18 |
| Wed Feb 25 | A | B | Make-up night for Feb 13, as agreed |
Example totals for February 2026: scheduled A 14, B 14; actual A 13, B 15; difference A −1, B +1; 3 nights differ. In the example arithmetic, the swap and its make-up night net to zero for each parent; the work-trip night accounts for the −1 and +1. Arithmetic only: the tracker doesn’t say what a difference means.

Questions about the parenting time tracker
What is the difference between scheduled and actual parenting time?
Scheduled time is what your order, parenting plan or written agreement says: which parent has the child each night. Actual time is what happened: where the child slept that night. Swaps, holidays, illness, travel and missed exchanges are common reasons the two differ. The tracker keeps both side by side so the difference is easy to count.
How do I count an overnight?
In this tracker, each night gets the letter of the parent whose home the child sleeps at that night. That is a simple convention for record-keeping, not a rule. Overnight counting can differ by order or court; your order or local rules control. If you’re unsure how your order counts time, consult a licensed attorney where you live.
What if my schedule doesn’t repeat?
Delete the example start date and pattern on the Start here sheet and type A or B in the Scheduled column for each night, the way your order or plan describes it. You can also let a repeating pattern fill most nights and type over holidays and school breaks.
Why does the month table compare only the nights I’ve filled in?
So a half-finished month compares like with like. If you’ve filled in the actual parent for the first 10 nights of a month, the scheduled count covers the same 10 nights. Each year sheet also shows the scheduled total for the whole year, filled in or not.
What do the difference columns mean?
Difference is actual minus scheduled for each parent: +2 means that parent had two more nights than scheduled in that period, −2 two fewer. “Nights that differ” counts the nights where the two letters don’t match, so a one-for-one swap shows as 2 nights that differ and a difference of 0. The numbers are arithmetic only; the tracker doesn’t say what a difference means for child support, custody or anything else.
How is this different from the parenting time calculator?
The parenting time calculator shows how many nights a schedule gives each parent over a year. This tracker records, night by night, what was scheduled and what actually happened, and counts both.
Does the spreadsheet work in Google Sheets?
Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. The Scheduled fill, the A and B colours, the “differs?” flag and the totals use ordinary spreadsheet formulas that Google Sheets and Excel both run.
Is anything I type uploaded?
No. The files are ordinary downloads; what you type stays in your copy. Keep it somewhere others can’t open, especially on a shared phone, computer or cloud account.
Is this a court form or legal advice?
No. It’s a record-keeping spreadsheet and printable, not a court-approved form and not legal advice. It doesn’t say what to file or ask for, or how a court decides. For advice about your situation, consult a licensed attorney where you live.

The tracker counts the nights. Your records hold the details.
When you also need to keep the texts, photos and records about swaps and missed or late exchanges, the free Custody Commander plan keeps each file and its details together in one case file: up to 10 evidence items and 1 GB of storage, where you can date, describe, tag and search each item, read the text out of a screenshot for you to check against the image, and download a numbered PDF list (watermarked on the free plan). It includes 6 AI actions to try things (one-time, not monthly), needs no card and never expires. Paid plans add unlimited evidence items and exports without the watermark.
